Data Deletion

This page describes how to delete data from DocOS, including data shared with us via Meta's WhatsApp Cloud API. This is required to comply with Meta's Platform Terms and India's DPDP Act 2023.
Who can request deletion
- Clinic administrators can request deletion of the clinic's account and all its operational data.
- Patients should contact the clinic that holds their records; the clinic can delete a patient's record using DocOS's built-in tools (we provide a "Delete patient" workflow with cascade preview).
- Anyone whose WhatsApp Business Account is connected to DocOS can disconnect at any time from Meta Business Manager, and request DocOS purge its message copies as described below.
How to request
Send an email from the address registered as the clinic admin to hello@docospro.com with the subject line "Data Deletion Request". Include:
- The clinic name and DocOS subdomain.
- The scope of the request: full account, specific date range, specific patient (only if you are the clinic admin), or just WhatsApp-related data.
- A contact phone number, in case we need to verify the request.
We will reply within 3 business days to acknowledge, and complete the deletion within 30 days of the verified request.
What we delete
For a full account deletion:
- All patient records, clinical notes, prescriptions, procedures, billing records, signed documents, and uploaded files.
- All WhatsApp message metadata and bodies stored in DocOS's database.
- All staff user accounts and authentication data for the clinic.
What we retain
We retain:
- Audit logs for 90 days after deletion, for security and dispute resolution.
- Billing records as required by Indian GST law (typically 8 years), but stripped of clinical content.
- Aggregated, de-identified analytics that cannot be linked back to any individual.
For WhatsApp Business Account disconnection
To stop DocOS from sending or receiving messages through your WhatsApp Business Account:
- Sign in to Meta Business Manager (business.facebook.com).
- Navigate to Business Settings → Accounts → WhatsApp Accounts.
- Select your WhatsApp Business Account.
- Under Connected Apps, find DocOS and click Remove.
This revokes our access token immediately. We will detect the disconnection and purge our locally-stored message copies within 7 days. To request explicit confirmation of purge, follow the email process above with scope "WhatsApp data".
